Putting Events on Your Calendar
The events you list on the IDEAL Calendar are called "occasions"the meetings, appointments, anniversaries, and other events you want to remember. This page explains how to put occasions on your calendar, how to set up advance notification of occasions, how to put recurring occasions (birthdays, anniversaries, monthly meetings, etc.) on your calendar automatically, and how to edit occasions.
Setting the Display Time Option
Before putting an occasion on your calendar, make sure your calendar is set to display the time of day of an occasion automatically:
- Click Settings at the bottom of the calendar.
- When the Calendar Settings dialog box appears, click the Occasion Options tab. The Occasion options appear.
- In the Calendar tiles box, check Display time, as shown in this example:
- Finally, click Save.
Putting One-time Occasions on Your Calendar
To put a one-time occasion on your calendar:
- Click the years at the top of the calendar to bring the calendar to the year in which the occassion occurs.
- Click the tab of the month in which the occasion will occur.
- Click the day on which the occassion occurs. The Add Occasion dialog box appears:
- Set the options in the Add Occasion dialog box:
- Date. The date will be set to the date you selected on the calendar. To change the date, click the month or day and then click the up or down arrow beside the date.
- Time. You can also change the time shown for the occasion. Click the box next to the time. Click the hours, minutes or AM/PM field. Then use the up or down arrow to change the time. If you leave the box checked, the time you choose will appear on your calendar.
- Message. In the Message box, type the reminder you want to appear on the calendar.
- Notification To be notified in advance of the occasion, check Notify me. In the boxes following Notify me, enter the number of days, hours, or minutes in advance of the occasion you want to be notified.
- Annual or one-time. Beneath Notify me, select whether the occasion will Occur every year or Occur this year only.
- Category. The selection you make in the Category box determines the color in which your message appears on your calendar. In addition, if you check the Birthday or Anniversary category, the calendar will put the occasion on calendars for succeeding years automatically. If you enter the number of years of age for Birthday or the years of marriage, for example, for Anniversary, on the first occurrence you list of the occasion, the calendar will show the correct number of years on subsequent occasions.
- Click Save. Your occasion appears on the calendar. The calendar will notify you of the occasion in advance by the number of days, hours, or minutes you selected.
Putting Recurring Occasions on Your Calendar
Use the Add Recurring Occasion dialog box to put recurring occasions on your calendar. Follow these steps:
- Click the Recurring Events tab on the calendar. The recurring events list appears.
- At the bottom of the recurring events list, click Add. The Add Recurring Occasion
dialog box appears:
- Set the options in the Add Recurring Occasion dialog box:
- Start on date. In the Start on box, set the date of the first occurance of the occasion. Click the triangle in the box to see an interactive calendar on which you choose a date. Use the arrows on the calendar to choose the month. Then click the day the occasion first occurs.
- End on date. Check the End on date if you know when the recurring occasion will end. Click the triangle in the box to see an interactive calendar on which you choose a date. Use the arrows on the calendar to choose the month. Then click the last day the occasion occurs.
- Time. To set the time the occasion occurs, check the box next to the time. Click the hours, minutes or AM/PM field. Then use the up or down arrows to change the time. If you leave the box checked, the time you choose will appear on your calendar.
- Message. In the Message box, type the reminder you want to appear on the calendar.
- Notification. To be notified in advance of the occasion, check Notify me. In the boxes following Notify me, enter the number of days, hours, or minutes in advance of the occasion you want to be notified.
- Occurrence. Use the next three lines to set how frequently the occasion occurs:
- If the occasion occurs on a daily, weekly, or monthly basis, check Occur every ... and enter the number of days, weeks, or months between occasions in the boxes following Occur every....
- If the occasion occurs on the same weekday of every month, check Occur on the ... of every month. The day of the month shown is the same as the Start on date you choose.
- If the occasion occurs annually, check Occur annually.
- Category. The selection you make in the Category box determines the color in which your message appears on your calendar. In addition, if you check the Birthday or Anniversary category, the calendar will put the occasion on calendars for succeeding years automatically. - Click Save, and your occasion appears in the recurring events list. Your occasion also appears on your calendar every day on which it occurs. The calendar will notify you of the occassion in advance by the number of days, hours, or minutes you selected.
Editing Occasions
You can change the date or anything else you have entered for an occasion by following one of these steps:
- If the occasion is recurring, click the Recurring Events tab. Click the event in the recurring events list and then click Edit at the bottom of the list. The Add Recurring Occasion dialog box appears. Change the information in the box (see Putting a Recurring Occasion on Your Calendar, Step 3). Click Save.
- If the occasion occurs only once, right-click the date of the occasion on the calendar. From the options that appear, choose Edit Occasion. Change the information in the box, which is the same as the Add Occasion box (see Putting One-time Occasions on Your Calendar, Step 4). Click Save.
